Procurement & Order Management
- Place and manage orders with all vendors (furniture, accessories, etc.)
- Track all orders from confirmation to delivery
- Notify clients with order updates, including estimated lead times, delays, and delivery windows
- Handle all claims related to damages, defects, or shipment issues
- Manage all import and export logistics, including customs coordination and documentation
- Maintain clear communication with vendors regarding lead times, updates, and any issues
- Coordinate with external partners including contractors, installers, delivery teams, and fabricators
Client Billing & Financial Oversight
- Issue invoices to clients and track payments
- Follow up on outstanding or secondary balances due
- Maintain accurate records of payments and vendor costs
- Assist in tracking project budgets and reconciling invoices
Inventory & Online Shop Management
- Manage and update inventory for both the physical studio and online shop
- Add new products to Shopify, including descriptions, pricing, and images
- Update existing Shopify listings with current availability, pricing, and product details
Project & Team Coordination
- Manage the team’s active project list, ensuring deadlines and tasks are clearly tracked
- Follow up consistently on project milestones, procurement timelines, and vendor deliverables
- Help ensure seamless coordination between design, procurement, and installation phases
Client Relations & Administrative Support
- Assist with client communication and follow-up as needed
- Support outreach to prospective clients or collaborators
- Provide administrative support related to procurement and finance
