The Administrative & Accounting Assistant for Latin America is responsible for providing comprehensive support across accounting, administrative, and treasury functions to ensure the smooth operation of the Latin America Hub. This role contributes to regulatory compliance, efficient financial and administrative management, and the proper organization of documentation. Additionally, the assistant will be responsible for preparing basic financial and operational reports and offering day-to-day support to facilitate effective regional management.
Duties and Responsibilities
Accounting:
- Manage digital document archiving of accounting records for the Hub.
- Perform reconciliation of accounting and bank accounts (Hub).
- Respond to financial team requests, including income reports and bank reconciliations.
- Send accounting documentation to the fiscal accounting team at Panthera Colombia.
- Support the preparation of financial reports and monthly accounting closings (Hub).
- Create supplier and employee profiles in the NetSuite system (Hub).
- Provide support to staff and conduct weekly reviews of Chomer River data, ensuring proper export to NetSuite.
Administrative and Treasury:
- Oversee supplier payments, manage financial obligations, and handle the legalization of advances and petty cash, including the preparation and monitoring of cash flow.
- Manage banking procedures such as certifications, requests, and downloading of payment receipts and bank statements.
- Support contract management, including renewals and legal documentation for the organization.
- Coordinate administrative logistics, including correspondence, quotations, operational support, and the organization of institutional events.
- Assist in audit processes and the preparation of reports required by oversight entities.
- Monitor inventory and fixed assets, ensuring accurate records and proper maintenance.
- Lead procurement processes and manage maintenance of IT equipment and software licenses.
- Provide support in other administrative and accounting tasks as needed to ensure smooth organizational operations.

Experience required:
- Minimum 6 months of experience.
- Proficient in NetSuite, Chrome River or other accounting software.
- Proficient with MS Office Excel.
- Valid driver's license.

- This position is based in Bogota, Colombia.
- Availability to travel around Colombia.
