Billing/Collections Specialist (Remote – Full Time)
Position Overview We’re looking for an experienced Billing/Collections Specialist to handle invoicing, collections, and account reconciliation while ensuring exceptional client interactions. This role plays a key part in managing financial transactions, resolving billing issues, and maintaining a healthy cash flow to support the company’s financial stability.
Key Responsibilities
- Prepare and send accurate invoices for services or products.
- Monitor accounts receivable and follow up on overdue balances through calls, emails, and written communication.
- Address client inquiries and resolve billing discrepancies promptly and professionally.
- Maintain accurate billing records, payment histories, and account statuses using financial software.
- Generate aging reports and prioritize follow-ups to ensure timely collections.
- Negotiate payment plans in accordance with company policies.
- Collaborate with internal teams to resolve disputes related to billing or contracts.
- Process payments, refunds, and adjustments while keeping precise records.
- Ensure all billing and collections activities comply with financial, legal, and company standards.
- Provide regular updates and reports to management on outstanding accounts and billing issues.
- Recommend process improvements to increase efficiency and accuracy.
Qualifications
- Proven extensive experience in billing, collections, bookkeeping, or accounts receivable.
- Experience working in a law firm is a plus.
- Proficient with financial software, Google Suite, and Excel.
- Strong communication, negotiation, and organizational skills.
- High attention to detail and the ability to handle confidential financial data responsibly.
- Familiarity with relevant industry regulations and compliance standards.
- Must have a laptop, reliable internet connection, and headset.
- Ability to work in a quiet environment conducive to focused work.
Schedule
- Full-time, Monday to Friday.
- Work hours aligned with Eastern Standard Time (EST) or flexible asynchronous schedule — open to discussion.
