On behalf of our client, we are seeking a Maintenance Coordinator who will play a key role in keeping properties in excellent condition, ensuring timely and cost-effective resolution of maintenance issues. The coordinator will work closely with tenants, property owners, vendors, and the regional property management team to ensure work orders, repairs, and projects align with the company’s service standards and operational objectives.

Key Responsibilities
- Work Order & Maintenance Management
- Receive service calls from tenants and owners.
- Receive, log, prioritize, and assign maintenance requests using the client’s electronic work-order system (AppFolio).
- Consult with the Regional Property Manager and call owners for approval of repairs or work orders.
- Track progress, follow up on all open work orders, and close them upon completion.
- Support preventative maintenance programs to minimize emergency repairs.
- Document all communications and updates within AppFolio.
- Vendor Coordination & Oversight
- Call vendors for repairs, service requests, and bids.
- Source, schedule, and manage vendors for repairs, inspections, and special projects.
- Review quotes, ensure cost-effective solutions, and monitor vendor performance.
- Maintain strong vendor relationships while ensuring compliance with company standards.
- Tenant & Owner Communication
- Schedule repairs with tenants and provide clear, timely updates on maintenance schedules, progress, and completion.
- Keep property owners informed via the owner portal or direct communication.
- Ensure all communications reflect the client’s customer service standards.
- Emergency & Ad Hoc Response
- Act as the primary contact for urgent maintenance issues and 24/7 emergency protocols.
- Dispatch vendors promptly and provide status updates to tenants and property owners.
- Assist with seasonal tasks and special projects as required.
- Support other property management positions when needed.
- Reporting & Continuous Improvement
- Prepare monthly reports on maintenance activity, costs, and trends.
- Maintain accurate records for compliance and historical tracking.
- Identify and recommend process improvements to enhance efficiency and reduce expenses.
Requirements
- 2–4 years in property management, maintenance coordination, or a related administrative role. Experience in maintenance scheduling, troubleshooting, or working with a plumbing/HVAC company coordinating service calls is highly preferred.
- Bilingual (English & Spanish): Required to effectively communicate with tenants, vendors, and owners.
- Skilled with property management platforms (e.g., AppFolio) and digital communication tools.
- Excellent written and verbal communication; able to interact professionally with all stakeholders.
- Strong multitasking, prioritization, and deadline management skills.
- Calm under pressure, resourceful, with strong vendor negotiation and coordination skills.
- Familiarity with Southern California property maintenance norms and vendor networks (Preferred).
- Flexible and able to support occasional after-hours or emergency coordination.
Working Hours:
Full Time (40 hours per week)
Monday through Friday 8 AM - 5 PM Pacific Time
