A full-service commercial landscape maintenance company is looking for an Irrigation & Enhancement Virtual Assistant to join their growing team. As a Virtual Assistant, you will play a key role in supporting the Irrigation and Enhancement Managers by handling administrative tasks, scheduling coordination, and team communication. This remote role is essential in helping ensure smooth day-to-day operations and enabling the field teams to deliver top-tier service to commercial clients.
Responsibilities for this position include but are not limited to:
Team Scheduling Support
- Coordinate daily scheduling of irrigation technicians under direction of Irrigation Manager
- Manage job assignments and route optimization for field teams
- Track technician availability and communicate schedule changes
- Support Enhancement Manager with scheduling as needed
- Prepare detailed irrigation proposals and work orders for client review
- Create work orders for issues and repairs promptly, and ensure the immediate visibility of work order on the schedule
- Maintain irrigation project documentation and client records
- Process irrigation service requests and update tracking systems
- Efficiently accessing work portals to obtain necessary client files and client packages from Google Drive, including instructions and report formats
- Reviewing photos from landscaping crews, verifying quality, and conveying that information to the clients.
- Managing and responding professionally and promptly to a client-facing email address.
- Support Enhancement Manager with documentations as needed
- Maintain and update the Irrigation Slack channel for team coordination
- Coordinate with Irrigation Manager on daily team updates and priorities
- Coordinating and responding swiftly to emails, assisting with scheduling tasks, and
- updating team member details
- Support Enhancement Manager with team communication as needed
- Updating and managing our CRM for irrigation repairs, ensuring timely completion and
- follow-up of tasks.
- Assist Irrigation Manager with team performance tracking and reporting
- Maintain irrigation department files and documentation
- Assisting in the development and addition of layers to Google MyMaps for Properties.
- Fielding and answering crew questions, providing assistance to crews and Irrigation
- Techs as needed.
- Incorporating additional information from the scheduler into reports, including pictures.
- Assist with irrigation team meeting logistics and follow-up
- Help manage irrigation department compliance and documentation
- Provide administrative support for irrigation team initiatives
- Collaborating with the bilingual Irrigation Manager in scheduling and managing the
- Irrigation Tech team.
- Perform other irrigation team support duties as assigned by Irrigation Manager
- Backup support for critical irrigation operations when needed
- Performed other duties as assigned
- High school diploma or equivalent required
- Minimum 3 years of administrative or operations support experience
- Bilingual: Fluent in verbal and written English and Spanish.
- Ability to work Arizona Time
- Strong computer skills including proficiency with Google Workspace
- Experience with project management or scheduling software preferred
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to work independently in a remote environment, covering
- Problem-solving abilities and proactive approach to task management
- Reliable high-speed internet connection and dedicated workspace
- Previous experience in construction, landscaping, or irrigation industry
- Proficiency with CRM systems and project management tools
- Experience with Slack or similar team communication platforms
- Familiarity with Google MyMap
- Basic understanding of irrigation systems and terminology
- Basic understanding of landscape management
- Customer service experience
- Associate's degree in business administration or related field
- High-speed internet connection (minimum 25 Mbps)
