We are looking for a highly proactive and organized individual to manage the manager's schedule, projects, and administrative tasks. The ideal candidate will provide top-level assistance to the CEO. They should be well-organized and comfortable managing the schedule, coordinating projects, and supporting administrative tasks. Additionally, this person should be able to plan and organize efficiently, as well as be proactive in managing their responsibilities to maximize the manager's productivity.
Responsibilities:
- Manage and organize the manager's schedule, including scheduling meetings and appointments.
- Coordinate and follow up on projects, ensuring deadlines and objectives are met.
- Support the planning and organization of administrative tasks, including document and file management.
- Provide assistance in preparing meetings and events, including drafting agendas and minutes.
- Draft and manage documents, reports, and presentations.
- Follow up on emails and communications on behalf of the CEO.
- Identify opportunities for improvement in administrative processes and propose solutions.
- Collaborate with other team members to ensure operational efficiency.
- Handle travel and event logistics, including booking flights and accommodations.
- Coordinate and track progress on projects across multiple entities.
- Liaise with vendors, partners, and internal stakeholders, proficiency with handling invoices.
- Maintain digital filing systems and shared workspaces (Sharepoint, OneDrive, etc)
Requirements:
- Bilingual (fluent in Spanish-English).
- Strong planning and organizational skills.
- Experience in project management and administrative tasks.
- Proficient in using office tools (Microsoft Office, CRM).
- Ability to manage multiple priorities and tasks.
- Ability to work autonomously and make informed decisions.
- Experience in managing schedules and coordinating meetings.
