The Virtual Assistant to the CEO will be responsible for providing direct executive support, managing communications, and ensuring smooth daily operations. You will oversee scheduling, email and stakeholder communications, administrative processes, service requests, and assist with marketing and customer relations. This role requires strong organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
- Manage the CEO's calendar, including scheduling meetings, events, and travel
- Oversee daily email management by drafting, prioritizing, and responding as directed
- Track and organize communications with stakeholders, clients, and partners
- Handle general administrative tasks, document organization, and reporting
- Receive and coordinate service requests with internal teams
- Provide customer service support, ensuring inquiries are resolved promptly and professionally
- Build, document, and maintain Standard Operating Procedures (SOPs) and ensure their adoption across the team
- Assist in planning and scheduling internal and external events
- Support social media marketing by scheduling posts, tracking engagement, and coordinating with content creators
- Contribute to broader marketing efforts, including research, email campaigns, and client outreach
Qualifications
- Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative role
- Strong organizational and time-management skills with the ability to prioritize tasks
- Excellent written and verbal communication skills
- Proficiency in productivity and project management tools such as Google Workspace, MS
- Office, Slack, Asana, or similar
- Familiarity with social media platforms and basic marketing practices
- Self-motivated, resourceful, and adaptable in a fast-paced environment
- Attention to detail to ensure accuracy in scheduling, communication, and documentation
- Problem-solving skills with the ability to anticipate needs and resolve issues before escalation
- Discretion and the ability to handle sensitive and confidential information with integrity
- Initiative to proactively improve processes and support company efficiency
Compensation and Benefits
- Salary range of $8 to $12 per hour based on experience
- Supportive, team-oriented work environment
- Full-time position
