V104 - Intake and Communications Specialist

Job Description:

Summary

This role is perfect for someone who enjoys making others feel heard and supported from the very first interaction. As an Intake Specialist, you’ll be the welcoming voice that guides clients through their initial steps, ensuring they feel cared for and confident. You’ll help organize schedules, manage communications, and support the team with thoughtful follow-ups and clear documentation. If you’re someone who thrives in a calm, structured environment and finds joy in helping others navigate important decisions, this position will feel like home.

• Monthly Compensation: $1,150 to $1,220 US


Responsibilities include, but are not limited to:

• Answering phone calls with warmth and professionalism
• Scheduling appointments and managing calendars
• Following up with former clients and requesting reviews
• Drafting and sending engagement agreements and intake forms
• Sending invoices and tailoring time entries
• Presenting ideas for social media content
• Developing and refining SOPs
• Supporting email inbox management (once comfortable)
• Inputting client information into the CRM system (once comfortable)

Requirements:

• 1 - 2 years of customer service or sales
• Must be comfortable speaking with clients over the phone
• Ability to work independently and collaboratively
• Willingness to learn and grow into additional responsibilities


Softwares:

• CRM: Clio Growth and Clio Manage


Working Schedule: 8:30 a.m. to 5:30 p.m.
Timezone: EST (US)

Languages:

English, Spanish
